Identifiers & Contact Details – name, email address, billing/shipping address, phone number, IP address, device identifiers.

Customer Records & Commercial Information – service addresses, project notes, appointment history, quotes/estimates, invoices, payment status, purchased products/services, warranties.

Payment Information – limited payment details (e.g., last 4 of card) processed by our payment processors; we do not store full card numbers.

Internet/Technical Information – browsing data, device and browser type, operating system, pages viewed, referring/exit pages, timestamps, and cookie IDs.

Geolocation Data – approximate location derived from IP address or device settings when enabled.

Communications & Preferences – records of calls, emails, texts/SMS (including opt-in/opt-out status), survey responses, messaging preferences.

Audio/Visual – customer service call recordings or site photos/videos when necessary for service quality and safety (where permitted by law and with notice).

Professional/Property Details – information about your property relevant to HVAC work (e.g., equipment model/serial, square footage, energy usage notes), and, for business customers, business contact details.

Sensitive Personal Information (SPI) – generally not collected. If we receive SPI (e.g., account login credentials you create in our systems), we use it only to provide requested services.

Sources of Information. We collect information directly from you, automatically via our website and communications, from service providers (e.g., scheduling, CRM, payments, analytics, communications), from publicly available sources, and from referral platforms and advertising partners.


2) How We Use Information

We use personal information to:

  • provide, schedule, perform, and support our services;
  • create and manage accounts, quotes, and invoices;
  • communicate about appointments, dispatch updates, billing, job completion surveys, and service recommendations;

3) SMS/Text Messaging Program (TCPA/CTIA)

Program Description. With your consent, we send SMS/text messages for: appointment reminders, dispatch notifications, technician ETAs, billing/payment alerts, job completion surveys, and limited promotions.

  • Verbal Consent: You may opt in during phone calls or in person with our team. We will explain message types and frequency.
  • Online Consent: Forms submitted on our website may ask for your phone number and include an opt‑in disclosure.

7) Data Retention

We retain personal information only as long as necessary for the purposes described above, including to meet legal, accounting, and reporting obligations. Typical retention periods:

  • Account, Job & Warranty Records: up to 7 years after your last interaction (or longer as required by law).
  • Communications (email/SMS logs): 4 years.
  • Marketing & Lead Records: 24 months from last interaction or until you opt out.
  • Analytics Data: 26 months (or provider default).
  • Call Recordings/Media: 24 months unless needed for safety, training, or dispute resolution.

Actual retention may vary based on legal requirements or business needs. When retention ends, we delete or de‑identify data.


8) Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is completely secure.


9) Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from them. We do not knowingly sell or share personal information of consumers under 16.
